General Registration Questions

• When and where is the annual conference?
  The LeadingAge Virginia Annual Conference will be held June 3-5, 2025, in Norfolk, VA.
• What is included in full registration versus daily registration?
  Full registration includes access to all keynote sessions, educational breakouts, exhibit hall access, networking events, and meals as outlined in the agenda.  Daily registration includes access to all events, sessions, meals, and the exhibit hall for the day you registered only.
• Is there an early bird discount?
  Yes! Early bird registration rates are available until 4/15/2025. Be sure to register early to save.
• Can I register on-site?
  On-site registration will be available at a higher rate. We encourage attendees to register in advance to secure their spot.
• Do you offer Administrator-in-Training/Student discounts?
  Yes, we offer 50% off registration. Please contact Claire Ruble (claire@leadingagevirginia.org) for details.

Payment & Cancellation

• What payment methods are accepted?
  We accept credit cards and checks. If paying by check, please follow the instructions on the registration page.
• What is the cancellation policy?
  Requests to cancel an event registration (aka cancellations) must be sent in writing to LeadingAge Virginia staff. Cancellations received seven (7) or more days before the start of the event will be refunded, less an administrative fee.  Cancellations received within six (6) days of the start of the event will be considered a “no-show” and no refund will be issued to the registrant.  Registrants are permitted and encouraged to send an alternate attendee in their place. Substitutions must be communicated with LeadingAge Virginia staff prior to the event.

Event Logistics

• Will I receive confirmation of my registration?
  Yes, a confirmation email will be sent upon successful registration. If you do not receive it, please check your spam folder or contact us at contactus@leadingagevirginia.org.
• Where can I find the conference schedule?
  The full conference schedule will be available on our website and the event app closer to the event.
• Are there hotel room blocks available?
  Yes, we have secured discount rates at The Waterside Marriott. Your registration confirmation email will contain the next steps for booking your hotel room.

• Is there a virtual option?
  At this time, the conference is an in-person event only.
• What is the Photo Release?
  By registering and attending a LeadingAge Virginia event/meeting you grant LeadingAge Virginia full rights in perpetuity to use the images resulting from the photography/video filming taken at the event/meeting, and any reproductions or adaptations of the images for publicity or other purposes to help achieve LeadingAge Virginia’s mission. This might include (but is not limited to) the right to use them in LeadingAge Virginia’s printed publications, online publicity, social media, and press releases.
